Provides secretarial and clerical support to the administrative and management teams. Coordinates on-site functions, meetings and conference room schedules.
Essential Job Functions
Has a thorough knowledge and understanding of confidentiality and maintains confidentiality with all aspects of the job.
Provides clerical and secretarial support to Administrative Office:
Acts as receptionist for administration unit, greeting guests, visitors, answering questions and aiding within scope of responsibility.
Screens and redirects mail and phone calls appropriately.
Responds to requests for typing, copying, faxing, scanning, ordering supplies and maintaining administrative files.
Assists in preparation, setting up and breaking down of meetings.
Assists in the maintenance of bulletin boards including approving and removing signs
Assists with preparation of reports, data collection, data entry, data research and analysis, programs and distribution of reports.
Maintains stock of routine supplies in area ensuring adequate inventory.
Updates and maintains hospital contact lists including but not limited to:
Updates and maintains hospital files including but not limited to: physician credentialing, vendors, professional contracts.
Assists department managers with creating and maintaining forms, stats, graphs, etc.
Assists with Human Resource tasks including but not limited to:
Maintenance of employee, personnel and benefit records.
Assists with Payroll tasks including but not limited to:
Acts as an employee liaison; assists employees with handbook and policy questions, general information and HR or Payroll questions within the scope of their knowledge. Redirects questions appropriately.
Schedules and organizes complex activities such as board meetings, hospital committee meetings, travel and department activities.
Demonstrates the spirit of the philosophy, mission, and values of the hospital through words and actions and implements them into departmental processes, programs, and the working environment.

Education: High School Diploma or equivalent.
Experience, Training, Knowledge: Three (3) to five (5) years clerical experience required with the ability to analyze information, perform detailed data entry, attention to detail, thoroughness, strong communication skills under pressure, time management and organization. Previous human resource, event planning and accounts payable experience highly desired.
Requires reaching, grasping, handling, and/or feeling five (5) or more hours per day in order to record data, operate computer/word processing equipment, etc.; visual acuity to maintain various records/reports, prepare forms, utilize automated processes, comprehension of written instructions, etc.; audio acuity to respond to requests, instruction and questions.
Working Conditions/Environmental Exposures
Environmental hazards such as chemicals, solvents, needles, needle containers, sharps, blood, body fluids, various infectious/communicable diseases, infectious medical waste, radiation, and/or radioactive materials and/or radioactive waste, proximity to moving mechanical parts. Protective clothing/equipment may be necessary.
ASH IMMUNIZATIONS AND VACCINATIONS REQUIREMENTS – Aligns with CDC’s Advisory Committee on Immunization Practices (ACIP) for Healthcare Personnel
Hepatitis B- Lab evidence of immunity to Hepatitis B or three doses Hep B vaccine at appropriate intervals
Influenza- mandatory from November 1st through March 31st each year
Measles, Mumps, and Rubella - Lab evidence of immunity to Measles, Mumps, and Rubella or 2 doses of MMR Vaccination
Varicella (chickenpox) - Lab evidence of immunity to Varicella or 2 doses of Varicella Vaccine
Tetanus, diphtheria, pertussis (Tdap) - documented proof of immunization
Tuberculosis Screening- All new-hires undergo a two-step TB skin test
